Peak evenings and popular periods such as holidays tend to score higher. Restaurants without any no-show policy see their rate climb faster than those actively sending reminders or requesting deposits.
It depends entirely on your number of reservations, no-show rate, average party size and average spend. The calculator above works this out for your specific situation. Beyond the direct revenue loss, the cost of pre-prepared dishes and missed table turnover opportunities make the total financial impact larger than most restaurant owners initially expect.
The most effective measures are: (1) Automatic reminder emails 24–48 hours before the reservation, so guests can cancel or confirm in time. (2) Request active confirmation via the reminder — guests who respond almost always show up. (3) Implement deposits for large groups or peak periods. (4) Use a blacklist for repeat no-shows. (5) Fill freed-up tables via last-minute channels and integrations.
In Belgium and the Netherlands this is legally possible provided you communicate this clearly and in advance at booking. The most common approach is requesting a deposit or credit card guarantee. Always inform guests transparently about the no-show policy in the booking confirmation. A milder but equally effective approach is not charging fees but having a clear reminder policy with cancellation option — so guests can cancel rather than simply not show up. When in doubt, consult a legal advisor or your sector organisation.

Reminders are low-threshold and guest-friendly: they give guests the chance to cancel in time and have a noticeable effect on no-show rates. Deposits are generally more effective but can be a barrier for new or occasional guests. The best approach combines both: reminders for all reservations, deposits for large groups, holidays or exclusive menus. RestoManager lets you configure both, also per day or per number of guests.
